Job description
Job purposeThe senior specialist, warehouse operations excellence is responsible for driving operational efficiency and excellence within the warehouse operations. This role involves analyzing and optimizing warehouse processes, ensuring compliance with safety and regulatory standards, and implementing best practices in inventory management, order fulfillment, and shipping and receiving. The position requires collaboration with cross-functional teams to ensure seamless integration between warehouse operations and other business functions. The senior specialist will also stay updated on industry trends and developments, leveraging new technologies and processes to enhance operational performance. This role is critical in achieving cost reduction, improving efficiency, and maintaining high standards of safety and quality within the warehouse environment.
Key accountabilities
Job specific:
• Prepare and implement warehouse operations strategies and procedures that align with the company's goals and objectives.
• Develop and produce training programs for warehouse supervisors and staff to ensure adherence to safety and operating procedures.
• Examine warehouse performance metrics to identify areas for improvement and execute action plans to address issues.
• Deliver best practices in inventory management, order fulfillment, and shipping and receiving processes.
• Lead collaboration with other departments, such as transportation and logistics, to facilitate seamless integration between warehouse operations and other business functions.
• Review compliance with regulatory and safety requirements and advise on corrective actions as needed.
• Develop and manage the warehouse operations budget, producing cost reduction strategies wherever possible.
• Advise on the maintenance and compliance of warehouse facilities and equipment with safety regulations.
• Analyze relationships with key vendors and suppliers and negotiate contracts as needed.
• Stay updated on industry trends and developments, and execute new technologies and processes as appropriate.
Generic:
Supervision
Plan, supervise and coordinate all activities in the assigned area to meet functional objectives.
Train and develop the assigned staff on relevant skills to enable them to become proficient on the job and deliver the respective business objectives.
Budgets
Provide input for preparation of the function, division, department, and section budgets, assist in the implementation of the approved budget, and work plans to deliver business objectives.
Investigate and highlight any significant variances to support effective performance and cost control.
Policies, systems, processes & procedures
Implement approved function, division, department, and section policies, processes, systems, standards and procedures in order to support execution of the work programs in line with company and international standards.
Performance management
Contribute to the achievement of the approved performance objectives for the function, division, department, and section in line with the company performance framework.
Innovation and continuous improvement
Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with best industry standards in order to define intelligent solutions for issues confronting the function.
Health, safety, environment (HSE) and sustainability
Comply with relevant HSE policies, procedures, controls, applicable legislation, and sustainability guidelines in line with international standards, best practices and company code of practices.
Reports
Provide inputs to prepare management information system and progress reports for company management.
Communication & working relationship
Internal:
Coordinate with the SVP group commercial operations & execution and other division heads in the function to ensure alignment of warehouse operations with overall business objectives. Regularly interact with staff within the executive function, directorate, and other directorates on divisional matters.
External:
Manage relationships with suppliers and vendor organizations, ensuring compliance with service standards and negotiating contracts as needed. Occasionally liaise with government officials to clarify regulations affecting warehouse operations and discuss matters of mutual interest.
Qualifications, experience, knowledge & skills
Minimum qualification
Bachelor's degree in engineering, finance, supply chain, business administration, logistics, or a related field; master's degree preferred.
Minimum experience & knowledge & skills
10 years of experience in warehouse operations, with at least 8 years in a leadership role.
Professional certifications relevant to warehouse management, supply chain management, or logistics are preferred.
